Background
Effective document management is crucial for the success of a company and is regulated by the ISO 9001 standard. With the merger of iqs Software GmbH and PLATO GmbH to form PeakAvenue GmbH, a new cloud-based document management software (DMS) called “Documents” was developed. This software combines the strengths of the previous solutions “Document Center” and “XERI” and supports companies in designing their documentation processes in a secure, flexible and standard-compliant manner.
Project implementation
“Documents” combines the structured specifications and security mechanisms of ‘XERI’ with the versatile customization options of ‘Document Center’. While “XERI” focuses on clear process management that ensures consistent document creation and management, “Document Center” enables flexible linking of documents with projects as well as customizable workflow control.
When developing “Documents”, PeakAvenue did not just limit itself to merging these two systems, but also actively incorporated customer requests to provide additional functions. For example, the software was expanded to include role management for workflow decisions and folder structures, making it easier to define individual access rights. The use of electronic signatures has also been integrated in order to meet regulatory requirements, particularly in the medical and pharmaceutical sectors. This includes standard-compliant solutions for the requirements of the US FDA.
As a cloud-based platform, “Documents” enables location-independent access via the browser and can be seamlessly integrated into existing IT landscapes. Thanks to an open architecture with a documented API, companies can connect their existing systems via standardized interfaces and thus ensure smooth communication between different modules.
Result
“Documents” offers companies a modern, flexible and secure platform for document control and management that meets the requirements of numerous standards. The cloud solution facilitates access and collaboration. With the integration of additional modules and the consideration of AI, the platform is future-proof. Existing customers of “Document Center” and “XERI” will be supported during migration in order to benefit from the advantages of the new solution in the long term.
